INVOICING

Every invoice, from draft to paid

Create an invoice in a live editable preview, send it as a branded PDF by email, and follow its status until the money arrives. Overdue invoices raise automatic reminders so nothing slips.

A full run of Issue invoice: line items pulled from the product catalog, the preview updating as you type, and the finished branded PDF sent by email.

Issue invoice

A live preview that is the invoice

The Issue invoice screen pairs a full form with a live, editable preview — what you see on screen is exactly the PDF your client receives. No separate preview step, no surprises after export.

  • Edit directly on the document

Change quantities, descriptions, and terms right in the preview. Totals recalculate as you type.

  • Line items from your catalog

Pull products and services straight from the catalog, with prices and stock already in place.

  • Two VAT rates on one document

The rate belongs to the LINE, not the document: each line carries its own product's rate and the header rate is only the fallback. The preview shows the taxable base and the tax per rate.

  • Automatic numbering

Each business keeps its own sequential invoice numbering.

  • A branded PDF every time

Invoices render as clean, professional PDFs. On Invoicing and up, they carry your own branding.

From draft to paid in three steps

Invoicing in Cove is a straight line — no exports, no mail client, no spreadsheet on the side.

  1. 01

    Create

Fill in the client, pick line items from the catalog, and watch the invoice take shape in the live preview. Proformas convert to original invoices in one click.

  2. 02

    Send

Email the branded PDF directly from Cove — no downloading, no re-attaching, no switching to your inbox.

  3. 03

    Track

Every invoice is paid, unpaid, or overdue at a glance. Overdue ones raise automatic reminders, and marking one paid updates your revenue records instantly.

Getting paid

The invoice carries its own way to be paid

Any issued invoice can get a public payment page. Your client sees the beneficiary, IBAN, BIC, amount, and reference, and the EPC069-12 QR code fills the transfer in inside their banking app. Cove does not process the payment — the transfer is made by their own bank.

One link, every channel

One dialog gives you the code to scan, the URL to paste, and a ready message carrying the number and the amount. Send it by email, SMS, Viber, or WhatsApp — the text is the same everywhere, so your client never sees one amount in one channel and another somewhere else.

A QR code on the invoice itself

Once an invoice has a payment link, an EPC069-12 QR code prints next to its payment details. Someone holding the printout opens their bank and scans — account, name, and amount fill in by themselves. The code covers euro transfers; outside the euro the page shows the full details instead.

The reference ties the transfer back

The reference is shown exactly as it has to be entered, and it carries the invoice number.

Notes against an invoice

A correction is a document, not an edit

An issued invoice is not edited. When the taxable base changes, you issue a note against it — a credit note for a reduction or a cancelled supply, a debit note for an increase. Cove issues both from the invoice's own row.

  • A credit note for the whole invoice or part of it

It defaults to the whole document. Lower the quantity on one line and it becomes partial: one item returned out of three does not need the whole invoice reversed.

  • Never more than what is left

Cove remembers what has already been credited on each line and refuses a note that would push the taxable base below zero. A second partial note goes through while the lines still have room.

  • A debit note for an increase

A tax document of its own, issued to the same client and under the same VAT treatment, with the ground for issuing it printed on the document.

  • Numbered from the invoice sequence

A note runs no sequence of its own — it takes the next number from the same series as your invoices. That is also why an issued note cannot be deleted.

  • Revenue and stock follow it

Credit a paid invoice and the recognised revenue drops by the same share, while the credited quantities return to stock at the cost they left at.

Multi-currency

Foreign currency without the spreadsheet math

Invoice in any currency and let Cove convert at the rate that matters — the one valid on the document date. Rates follow the fixed BGN–EUR peg and ECB reference rates, so your reports stay consistent.

  • Document-date conversion

Every amount converts at the rate valid on the invoice date, not the day you happened to enter it.

  • Fixed BGN–EUR peg, ECB rates

Cove applies the official lev–euro peg automatically and ECB reference rates for every other currency.

  • A missing rate never blocks you

If a rate cannot be resolved, the invoice still saves with its original amount and currency, flagged for review.

  • One FX engine everywhere

The same module prices invoices, expenses, and revenue — the numbers agree across the whole app.
